Notification actions (Category: Enterprise actions) enable the Axeda® Platform to send notifications using e-mail. When the rule associated with this action type evaluates to true, the Platform sends the notification to the recipient as defined in the notification entry information.
If a notification is not acknowledged in the user interface after a period of time, you may want to escalate the notification. Escalating a notification means the Platform sends the notification to a specified set of individuals (as defined below) to let them know that the issue has yet to be acknowledged. Escalated notifications appear with the word "Escalation" before the subject line of the notification.
1. Select the notification to send. (If you do not see the notification you want, you may need to first create that notification in the new notification page.) A notification is required to create this action.
2. If you want this e-mail to be sent only once per day, select Send this notification no more than once every 24 hours. This prevents the Notification action from running more than once in a 24-hour period, no matter how many times the rule for the action may evaluate to true.
3. If
you want this notification action be sent to all users who can "see"
the asset that triggered the action IN ADDITION to any other users, user
groups, contacts, roles, or e-mails addresses specified in the next several
steps, select Send notification to users
based on asset group membership.
If the user preferences settings for
a user exclude the user from seeing the asset that triggered the action,
then that user will not receive the notification..
4. Select the Platform users to whom this notification will be sent. This list shows all users configured for this Platform (Leave blank if there are no Platform users for this e-mail.)
5. You can send this e-mail message to multiple users. Select each user from the list and click Add user. The selected users for the notification action appear in the To User(s) list.
6. Select the Platform user groups to whom this notification will be sent. (Leave blank if there are no user groups for this e-mail.)
7. You can send this e-mail message to multiple user groups. Select each user group from the list and click Add user group. The selected user groups for the notification action appear in the To User group(s) list.
8. Select the Platform contact types to whom this notification will be sent. (Leave blank if there are no contacts for this e-mail.) This notification will be sent to the individuals defined for the selected contact types. For example, if you select "Distributor" and "Manager", this notification will be sent to the individuals defined for those contact types for the related assets.
9. You can send this e-mail message to multiple contacts. Select contact from the list and click Add Contact Type. The selected contacts for the notification action appear in the To Asset Contact Type(s) list.
Your privileges and server support for Case Management determine whether or not the following two check boxes are shown. If your organization has a license for this application, click here to display the details; click here again to hide the details.
10. Select the Platform role(s) to whom this notification will be sent. (Leave blank if there are no roles for this e-mail.) If no roles are shown for selection or you do not see the role you want and you are an Administrator, you may first need to create that role in the Administration application. If this is the case, select Click here to create a role and create the role in the displayed Create a role page.
11. You can send this e-mail message to multiple roles. Select each role from the list and click Add role. The selected roles for the notification action appear in the To Role(s) list.
12. To send the notification message to e-mail addresses of users or groups not defined in the directory service, type those addresses in the To Other box. Separate multiple addresses with commas and use valid e-mail address syntax (for example, user@company.com).
Notes:
You need to select at least one recipient for this notification
for this action to operate.
If a user is defined in more than one recipient list, when the notification
is sent, that user receives only one copy of the notification.
For Web Alerts, you need to select a user group or user for the notification;
individuals specified in the "To Other" box will NOT receive
Web
Alerts.
13. Click Test to test it. Testing sends the selected notification to the specified recipients immediately, as defined in their User Preferences - Change Notification Styles settings.
If the notification for this action is not acknowledged within a specified period of time, you can select to escalate the notification.
1. If the notification for this action should be escalated after a period of time, select Escalate this notification if not acknowledged within, and then specify the period of time by typing a number and selecting the time value: milliseconds, seconds, hours, minutes, days, or weeks. For example, if you specify a time period of 12 hours, the notification will be escalated (sent to the specified escalation addresses) if it was not acknowledged within 12 hours of creation.
2. Select the Platform users to whom this notification will be escalated and add to the Escalate to User(s) box. Leave blank if there is no Platform user for this notification action escalation.
3. Select the Platform user groups to whom this notification will be escalated and add to the Escalate to User group(s) box. Leave blank if there is no user group for this notification action escalation.
4. Select the Platform role(s) to whom this notification will be escalated and add to the Escalate to Role(s) box. Leave blank if there are no roles for this notification action escalation. If no roles are shown for selection or you do not see the role you want and you are an Administrator, you may first need to create that role in the Administration application, Create a role page. (use the Click here to create a role link located earlier in the page).
5. To escalate the notification action escalation message to e-mail addresses of users or groups not defined in the Platform, type those addresses in the Escalate to Other box. Separate multiple addresses with commas and use valid e-mail address syntax (for example, user@company.com).
Notes: You need to select
at least one recipient for this escalated notification to operate.
If a user is defined in more than one recipient list, when the escalation
notification is sent, that user receives only one copy of the notification.
For Web Alerts you need to select
a user group or user for the notification; individuals specified in the
To Other box will NOT receive Web Alerts.
When you are finished, click Next to select the user groups with edit permissions for this action. If you click Finish, the action confirmation page appears. If you click Cancel and continue canceling, all information configured in this wizard is removed.
